Executive - Travel Desk & Front Office (Female)

Role Overview
We are seeking a highly organized, professional, and proactive individual with 3 to 4 years of relevant experience to manage our Travel Desk and Front Office operations. The ideal candidate will serve as a core pillar of support, efficiently managing end-to-end corporate travel arrangements while simultaneously supervising front-of-house hospitality and reception functions. As the initial point of contact for visitors and internal stakeholders, the candidate must exhibit polished professionalism, excellent multitasking capabilities, and exceptional communication skills.
Key Responsibilities
- End-to-End Travel Management: Oversee and execute comprehensive travel coordination including flight bookings, rail ticketing, hotel accommodations, and localized transport logistics.
- Visa & Documentation Coordination: Manage international visa processing from end to end, facilitating necessary documentation, scheduling embassy appointments, and tracking application timelines closely.
- Corporate Itinerary Planning: Design and align detailed travel itineraries for domestic and international trips, keeping in mind the strict requirements of employees, management, and executive leaders.
- Front Desk Administration: Serve as the face of the company; welcome and guide all guests, vendors, and clients in an exceptionally courteous, welcoming, and professional manner.
- Communication & Switchboard: Efficiently handle incoming phone calls, filter inquiries, route messages, and maintain accurate records of communications.
- Logistics & Courier Desk: Oversee inward and outward courier tracking, distributions, and dispatch, ensuring all sensitive corporate documentation reaches its destination safely.
- Office Facilities Support: Ensure the reception area remains pristine, clean, organized, and properly equipped with updated informational resources or corporate collateral.
Candidate Profiles & Key Skills
- Experience: 3–4 years of clear, demonstrable hands-on experience exclusively within a Corporate Travel Desk and/or Front Office environment.
- Core Competency: Thorough understanding of flight ticketing platforms, global visa regulations, submission protocols, and international documentation norms.
- Communication Mastery: Flawless verbal and written English communication skills, with an innate ability to articulate complex travel regulations clearly to stakeholders.
- Multitasking & Prioritization: Proven capacity to operate smoothly under high-pressure scenarios, shifting quickly between immediate reception demands and meticulous ticketing tasks.
- Tech-Savvy: Proficiency in the Microsoft Office Suite (Word, Excel, Outlook) along with general familiarity with standard travel booking engines and portals.
